AI Gets Smarter at Work: Asana Unveils Smart Workflow Gallery to Power Productivity

AI Gets Smarter at Work: Asana Unveils Smart Workflow Gallery to Power Productivity

Asana has launched its Smart Workflow Gallery, a new suite of AI-powered workflows designed to help Australian organisations scale productivity and bring order to the chaos of collaboration. The announcement, made today, underscores a shift in how businesses are blending human effort with artificial intelligence to solve one of today’s most pressing workplace problems: the sheer overload of low-value work.

Instead of expecting employees to figure out AI on their own, Asana now offers prebuilt, intelligent workflows tailored to common business functions—starting with IT, Marketing and Operations. These ready-made blueprints allow teams to immediately coordinate work across departments, automate repetitive tasks and get real value from AI—without writing a single line of code.

Blueprint for Human + AI Coordination

The Smart Workflow Gallery builds on Asana’s AI Studio, its no-code tool for designing and deploying AI workflows. Organisations now have the flexibility to either customise workflows or roll out proven ones based on insights from hundreds of companies.

For example, a marketing team can deploy a Smart Workflow that automates the intake of creative briefs, evaluates their quality, flags blockers, and even prioritises tasks—letting AI handle the repetitive work while humans stay in control. It’s a model designed to scale, not just experiment.

And this is key: unlike generic AI tools, Asana’s Smart workflows are powered by its Work Graph—a proprietary data model that maps how work actually gets done in an organisation. That gives the AI context, clarity and boundaries—crucial elements for reliable automation. The system can also integrate with external tools, pulling in and acting on data across platforms.

A Real Shift from Theory to Impact

The move comes at a time when most businesses are stuck in the early stages of AI adoption. According to Asana’s research, more than two-thirds of organisations don’t use AI beyond a handful of processes. Meanwhile, knowledge workers are still spending over 50% of their time on low-value tasks—a drag on productivity and morale.

But companies that integrate AI across workflows and build team-wide adoption strategies are seeing measurable benefits:

  • 43% more likely to report increased revenue
  • 40% more likely to see productivity gains

Dustin Moskovitz, CEO and Co-Founder of Asana, explains:

“AI can transform small teams into powerhouses—but only if it’s built into how they already work. Smart workflows provide the structure and oversight needed to let AI do what it does best, while freeing humans to focus on high-impact work.”

Rollout Begins for Key Business Functions

Launching in phases from May to July 2025, the first wave of Smart workflows will cover:

  • IT: New hire onboarding, ticketing, agile planning
  • Marketing: Editorial calendars, campaign management, creative requests
  • Operations: Strategic planning, work intake, goal management

Future expansions will respond to customer needs, with more workflows and integrations to come.

Global companies like Viessmann Group are already seeing results. “Asana’s new AI solutions enhance productivity and prioritisation across the business,” said Alexander Pöllmann, Director IT & Digital. “It’s a real accelerator.”

The Future: AI that Understands Your Business

IDC’s Senior Research Director of AI, Nancy Gohring, believes tools like Smart Workflow Gallery are crucial to AI success:

“Organisations that enable AI as a natural extension of team workflows will see real business outcomes. Context-aware tools remove complexity and unlock value.”

Asana’s vision is clear: AI that supports people—not replaces them—and helps organisations move from chaos to clarity. For Australian marketers navigating resource constraints, expanding responsibilities and tech fatigue, Smart workflows offer a real-world path to working smarter.
